Information you provide us directly — We ask for certain information, such as your name and e-mail address, if you register for a user account on our website or if you correspond with us (in which case we will also retain our responses). We may also retain your name, email address and other basic information, as well as any messages you send to the Voxel Hub through our various areas of operations (we do our best to use the most popular and reliable communication platforms). If you sign up for our email mailing lists, we will collect your name and email address through MailChimp. We use this information to operate, maintain, and provide you with the features and functionality of our website and our services. For one-to-one services (coaching, counselling, personal consultancy), we are obligated to retain key client data and notes for 5 years, in accordance with the UK data policy, subject to the prior agreement with the client and appropriate data storage protections.
Information we may receive from third parties — We may receive information about you from third parties. For example, if you access our websites or services through a third-party connection, that third party may pass certain information about your use of its service to Voxel Hub. This information could include, but is not limited to, any information that you have permitted the third party to share with us and any information you have made public in connection with that service. You should always review and, if necessary, adjust your privacy settings on third-party websites and services before linking or connecting them to Voxel Hub’s website or services. Public social media posts about us – If we use your public social media posts for our reports, we would do so carefully and, when possible, ask for your permission. If we do so, we would only use your posts to collect your feedback and improve our services for you. We collect lists of contacts publicly on relevant tools (for example, Twitter Lists or Moments). We do not store lists of social media handles in internal documents.
CRM data – we might use leading CRM systems, such as HubSpot, to provide better support for our services. If we do so, we ensure that your data is used only to provide better services and smoother communication with you and that it is not shared with any external stakeholders.

We may share your information with third parties outside the Voxel Hub and its controlled affiliates in the instances described below.

Counselling and coaching clients’ information is encrypted. Voxel Hub may transfer information we collect about you, including personal information, to affiliated entities or other third parties, across borders and from your country or jurisdiction to other countries or jurisdictions worldwide. This excludes counselling and coaching clients’ information, which can only be released in accordance with pre-trial guidance. If you are located in the European Union or other regions with laws governing data collection and use that may differ from UK law, please note that we may transfer information, including personal information, to a country and jurisdiction that does not have the same data protection laws as your jurisdiction, and you consent to the transfer of information.
Data Retention – We will retain your information for as long as your account is active or as needed to provide you with services. You may deactivate your account in your profile settings. Under the Data (Use and Access) Act 2025, you have the right to lodge a data complaint or request the deletion of your personal data, and we will act on it within 30 days. Please be aware that we will not be able to delete any content you have shared with others or with social media sites.
Deleting or Anonymising Your Content – If you are under 18 years of age, you may request that the content you posted to the services be deleted or anonymised so that your personal information will not be publicly identifiable on our services by contacting us at [email protected]. While we will use all commercially reasonable efforts to delete or anonymise your user content upon request, please be aware that due to the social nature of our services, you may not be able to completely remove all of your personally identifiable user content if, for example, that content has been stored, republished, or reposted by another user or a third party. We believe in complete AI transparency. This website contains original, human-generated content only. Occasionally, we may conduct AI experiments on our blog and clearly disclose our use of AI. We do use mainstream AI tools for research; however, we do our best to limit that use to limit the environmental impact, to protect our cognitive capacities and digital wellbeing and to provide content validated and curated by humans.
