Voxel Hub (“we,” or “us”) provides this Privacy Policy to explain our practices regarding the collection, use, and disclosure of information that applies to our website, social media and other communication channels, as well as online data storage related to our services (collectively, our “services”), as well as your choices regarding the collection and use of information. This Privacy Policy applies only to the practices of Voxel Hub. By accessing or using our channels, you signify that you have read, understood and agree to our collection, storage, use and disclosure of your personal information as described in this Privacy Policy.

  • We do our best to collect only the key personal data needed for us to provide the services to you. If we do so, we ask you for the permission and are happy to delete it upon your request.
  • We collect most of your data anonymously (for example, cookies and Google Analytics of our website) – which means if we analyse it, we do so in data groups so that your personal data is not identifiable. If we collect this data, we do so to report on the effectiveness of our services and to improve those services for you.
  • If we use your public social media posts for our reports, we would do so carefully and when possible ask for your permission. If we do so, we would only use your posts to collect your feedback and improve our services for you.
  • We do not share your data for any third-party sales purposes. If we share your anonymised data, we do so to carefully chosen, contacted stakeholders (for example online course lecturers, blog authors, Board of Advisors for instance) to help them develop better services for you. For example, we might share the traffic to some of their course pages which indicates the popularity of their content and might inspire them to write similar content for us in the future.
  • We do our best to use the market-leading digital tools (Google Apps, WordPress, MailChimp, core social media channels, HubSpot etc) for all our services to ensure the highest standards of data security and full control over what you share with us. We do our best to keep them all up to date with the best available security settings to prevent security breaches.
  • We do our best to provide content to audiences of all ages, however, we are aware of the need to protect children under 13.
  • We do not take responsibility for external links, so please ensure that you understand the external services well before sharing your data there.
  • We are based in the UK and thus comply with UK laws primarily, however, we do our best to cover the basics of EU (GDPR) and global privacy laws.


1. How we collect and use your information

We collect the following types of information about you:

Information you provide us directly — We ask for certain information such as your name and e-mail address if you register for a user account on our website, or if you correspond with us (in which case we will also retain our responses). If you purchase products or services or sign up for a paid subscription, then we will also ask for additional information, such as your credit card number and billing address. We may also retain your name, email address and other basic information as well as any messages you send through to the Voxel Hub through our various areas of operations (we do our best to use most popular and reliable communication platforms). If you sign up for our e-mail mailing lists, we will collect your name and e-mail address via MailChimp services. We use this information to operate, maintain, and provide to you the features and functionality of our website and our services. For one to one services (coaching, counselling, personal consultancy) we are obligated to keep the key client data and notes for 5 years according to the UK data policy based on the prior agreement with the client and with appropriate data storage protections.

Information we may receive from third parties — We may receive information about you from third parties. For example, if you access our websites or services through a third-party connection, for example, comment on our blog through Disquis commenting plugin, that third party may pass certain information about your use of its service to Voxel Hub. This information could include, but is not limited to any information that you have permitted the third party to share with us, and any information you have made public in connection with that service. You should always review, and if necessary, adjust your privacy settings on third-party websites and services before linking or connecting them to Voxel Hub’s website or services. You may also unlink your third party account from the services by adjusting your settings on the third party service.

Analytics information — We may directly collect analytics data, or use third-party Google analytics tools to help us measure traffic and usage trends for the services. These tools collect information sent by your browser as part of a web page request, including the pages you visit, your general browser or device information (including location, device type, browser type, time of access, pages you access on our website), and other information that assists us in improving the services. We may collect and use this analytics in a generic form, anonymously, so that it cannot reasonably be manipulated to identify any particular individual user. 

Log file information — Log file information is automatically reported by your browser each time you access a web page. When you use our services, our servers automatically record certain log file information. These server logs may include anonymous information such as your web request, Internet Protocol (“IP”) address, browser type, referring / exit pages and URLs, number of clicks and how you interact with links on the services, domain names, landing pages, pages viewed, and other such information. 

Cookies information — Cookies are small text files that are used to store small pieces of information. The cookies are stored on your device when the website is loaded on your browser. These cookies help us make the website function properly, make the website more secure, provide better user experience, and understand how the website performs and to analyze what works and where it needs improvement. As most of the online services, our website uses cookies first-party and third-party cookies for a number of purposes. The first-party cookies are mostly necessary for the website to function the right way, and they do not collect any of your personally identifiable data. Public social media posts about us – If we use your public social media posts for our reports, we would do so carefully and when possible ask for your permission. If we do so, we would only use your posts to collect your feedback and improve our services for you. We collect lists of contacts publicly on relevant tools (for example Twitter Lists or Moments). We do not store lists of social media handles on internal documents.

CRM data – we might use leading CRM systems to provide better support for our services – for example, HubSpot. If we do so, we ensure that your data is used only to provide better services and smoother communication with you and that it is not shared with any external stakeholders.

2. Sharing of your information

We may share your information with third parties outside the Voxel Hub and its controlled affiliates in the instances described below. 

Who we may share your information with — We may share your information with third-party business partners, stakeholders, consultants and service providers that perform services on our behalf for the purpose of providing the services to you. Those business partners will be given limited access to your information that is reasonably necessary to deliver the services. We will do our best to ensure that the information is generic and does not allow identification of specific personal data. 

Who you may choose to share your information with — Any information or content that you voluntarily disclose for posting to the services, such as your public profile, photos or images and associated metadata, and comments, becomes available to other Voxel Hub users and to the public, as controlled by any applicable privacy settings. If you remove information that you posted to the services, copies may remain viewable in cached and archived pages of the services, or if other users have copied or saved that information. You may also choose to share your information with friends through email or various social media sites.

Instances where we are required to share your information — Voxel Hub will disclose your information where required to do so by law or if we reasonably believe that such action is necessary to (a) comply with the law and the reasonable requests of law enforcement; (b) to protect the security or integrity of our services; and/or (c) to exercise or protect the rights, property, or personal safety of Voxel Hub, our users or stakeholders. We may also share information with others in an aggregated and anonymous form that does not reasonably identify you directly as an individual.

3. How we store and protect your information

Storage and Processing — Your information collected through the services may be stored and processed in the UK primarily. Voxel Hub may transfer information that we collect about you, including personal information, to affiliated entities, or to other third parties across borders and from your country or jurisdiction to other countries or jurisdictions around the world. Data Retention – We will retain your information for as long as your account is active or as needed to provide you services. You may deactivate your account in your profile settings. Please be aware that we will not be able to delete any content you have shared with others or with social media sites.

Deleting or Anonymizing Your Content – If you are under 18 years of age, you may request that the content that you posted to the services be deleted or anonymized such that your personal information will not be identifiable publicly on our services by contacting us at [email protected]. While we will use all commercially reasonable efforts to delete or anonymize your user content upon request, please be aware that due to the social nature of our services, you may not be able to completely remove all of your personally identifiable user content if, for example, that content has been stored, republished, or reposted by another user or a third party. We may also maintain your information in identifiable form for our internal use, even if your personal data is no longer visible to the public on our services.

Keeping your information safe — Voxel Hub cares about the security of your information, and uses commercially reasonable safeguards to preserve the integrity and security of all information collected through the Service. However, Voxel Hub cannot ensure or warrant the security of any information you transmit to Voxel Hub or guarantee that information on the services may not be accessed, disclosed, altered, or destroyed. Your privacy settings may also be affected by changes to the functionality of Voxel Hub’s distributors, such as social networks. Voxel Hub is not responsible for the functionality or security measures of any third party.

Compromise of information — In the event that any information under our control is compromised as a result of a breach of security, Voxel Hub will take reasonable steps to investigate the situation and where appropriate, notify those individuals whose information may have been compromised and take other steps, in accordance with any applicable laws and regulations.

You control your account information and settings — You may update your account information, profile information and email-communication preferences at any time by logging in to your account and changing your profile settings. 5. Children’s privacy

Voxel Hub does not knowingly collect or solicit personal information from anyone under the age of 13. The services and its content are not directed at children under the age of 13, although we do our best to ensure that all our content is suitable for people of all ages. In the event that we learn that we have inadvertently collected personal information from a child under age 13, we will delete that information as quickly as possible. In addition, you agree that we are not responsible and we do not exercise control over any third-parties that you authorize to access your user content.
